Who we are
We are Reliness Ltd, a company registered in England and Wales, company number 17558426, registered office 17 Hill Close, Barnet, EN5 3AG. Reliness Ltd is the controller of the personal data described here. Contact: ben@reliness.co.uk.
Whose data we hold, and where it comes from
- Business contacts we write to. Names, job titles, business email addresses and phone numbers, the company you work for, and public information about its work (for example a job advert, a grant award, a published article or a tender). We collect this from public sources: company websites, Companies House, public funding and procurement records, job adverts and published articles. We do not buy email lists.
- People who contact us or reply to us. What you send us, and our correspondence with you.
- Clients and their staff. Contact and billing details, and the information needed to deliver the work you ask for.
- Ledger exports. If you send us a sales ledger for a late payment scan, it contains your customers' business details and invoice history. We use it only to work out and pursue the claim, and we delete it when you ask, or 12 months after our last contact if you don't go ahead.
- Clinic Check documents. If you order a Clinic Check, you send us the clinic's quote, treatment plan, contract and messages. These can show health information, which is special category data. We use it only with your explicit consent, only to prepare your report and answer your follow-up questions, we don't share it with anyone, and we delete it 12 months after delivery, or sooner if you ask.
- Property deal details. If you order a deal-analysis pack, the properties you send us and what you tell us about your strategy, budget and finance. We never share your target properties with anyone.
- Tender alert subscribers. Your email address, the categories and value ceiling you choose, and the payment record Stripe sends us. We don't see your card details.
- People named in contract award notices. Our contract award pages repeat supplier names published by public buyers on Find a Tender. Where a supplier is a sole trader or a partnership, its name is personal data. We publish only what the buyer published.
- Postal addresses. When we write to a company by post, we use the registered office address and officers' names published at Companies House.

Your right to object
You can object to direct marketing at any time, and we will stop. Reply "no thanks" to any email from us, or write to ben@reliness.co.uk. We keep your email address on a suppression list so that we do not contact you again.
Who we share it with
We do not sell personal data. We use a small number of service providers who process data on our behalf under contract: Google Workspace (email and file storage), our website host, and Stripe for card payments. Some of these providers may process data outside the UK. Where they do, transfers are covered by UK adequacy regulations or the UK's approved contract terms. We share data with clients or other parties only where a piece of work requires it and you would expect it, or where the law requires it.
How long we keep it
- Prospect contact details: up to 12 months after our last contact, unless you become a client or ask us to keep in touch.
- Suppression list (opt-outs): only the email address, kept for as long as we send email, so we can honour your request.
- Clinic Check documents and reports: 12 months after delivery, or sooner if you ask.
- Ledger exports: 12 months after our last contact if you don't go ahead. If you do, for as long as the claims are being pursued, then as client records.
- Tender alert details: while you subscribe, then as client records.
- Client records and invoices: six years after the end of the financial year they relate to, for tax purposes.
